Contract Administrator

As a Contract Administrator at our Cedar Rapids location you will report to the Maintenance Manager and be part of a team responsible for the Maintenance and Reliability of the production facility. 
 
As a Contract Administrator you are responsible for managing our IFF Contract Administration program and ensuring the policies and procedures are followed for the activity of contracted work.  Work with contractors on setting goals and objectives as well as performance around safety, quality, schedule, cost and productivity.

  • Alignment with the site contracting strategy or Capital Procurement Process 
  • Development and maintain site contract administration procedures and processes 
  • Adherence to IFF's Core Values throughout contracting process 
  • Contractor prequalification process including variance process 
  • Bid package development including site conditions and scope development 
  • Providing and documenting contractor safety orientation with the EHS professional 
  • Auditing contractor training including home office audits 
  • Coordination of work in the field including safety audits, JSA audits, and the work permit process 
  • Conducting post job evaluations 
  • Works with sites contracted services suppliers on performance objectives and needed improvements regarding safety, quality, schedule, cost and productivity 
  • Verifying receipt of services including working with accounts payable to resolve invoice issues 
  • Assisting with injury management and incident investigations 
  • Manages the interface between the contractors, legal, sourcing, EHS, accounts payable, tax, the project process and any other party. 
  • Ensure contractors adhere to all safety, ISO, HACCP, GMP, Kosher, Halal, and plant expectations. 
  • Lead Building Facility work that rely on contractors.
  • Performs miscellaneous job-related duties as assigned.
  • Preparing and maintaining a delivery schedule and communicating to all relevant departments.
  • Manages equipment documentation on company drive as well as in SAP and file folders.  Maintains engineering and maintenance library.
  • Gatekeeper of all plant drawings and plant equipment tag names.

 

You are qualified if you have the following education, experience, skills, and attributes:

 

  • BS in Business, Safety or health or related technical field
  • 5 years’ experience in all aspects of plant operations, EHS managing processes, with understanding of contracting, financial controls, construction, maintenance, temporary staffing, and CA/CFA requirements. 
  • Field Contract Administration  or Construction Engineer experience is a plus 
  • Organizational and project execution skills, ability to handle multiple assignments, setting & communicating priorities and meet deadlines.  
  • Ability to lead and uphold core values (Respect for People, EHS, Ethics, Environmental Stewardship) 
  • Self-starter with systematic decisions making, problem solving and troubleshooting skills. 
  • Excellent interpersonal, written and verbal communication skills with the ability present information to all levels of the organization 
  • Demonstrated ability to work with computers, including Microsoft Office Suite & purchasing systems such as SAP
  • Excellent communications / interpersonal skills to develop effective relationships with internal and external resources.
